What ATS-friendly actually means

ATS-friendly means your information is readable and relevant to both software and people. It does not mean you found a trick that guarantees ranking.

An applicant tracking system is a database with a parser and a workflow. A recruiter types ‘Excel’ and ‘on-site Seattle’ and wants a list. If your resume cannot be parsed, you may never enter that list. If it can be parsed but contains no evidence for the job, you enter the list and still lose. Both problems are solvable. Neither is solved by a paid ‘ATS score’ website.

Rules that still hold in 2026

  • Use common headings: Summary, Experience, Education, Skills, Certifications. ‘Journey,’ ‘Superpowers,’ and ‘What I bring to the galaxy’ confuse parsers and humans.
  • Keep essential information in the body of the document, not only in headers, footers, text boxes, icons, or images.
  • Single column is the safest default. Two-column designs still break some parsers, especially older government and healthcare systems.
  • Standard fonts, standard bullets, standard dates (Month YYYY – Month YYYY or Year–Year).
  • File format: follow the posting. If they ask for PDF, send PDF. If they ask for Word, send Word. If they do not specify, a text-based PDF from Word or Google Docs is widely accepted. Do not submit a screenshot of a Canva graphic.
  • Name the file like a professional: LastName_FirstName_Role_2026.pdf.
  • Mirror accurate industry terms where they genuinely describe you. Do not keyword-stuff a skills section with every word in the posting.

What to stop doing

  • Putting your phone number only inside a header image.
  • Skill bars, pie charts of ‘80% Excel,’ and headshot-as-the-first-thing-the-parser-sees.
  • Tables used as a layout engine for your entire work history.
  • Tiny 8-point font to cram a third page of duties.
  • A skills section that lists 47 tools you touched once in 2019.
  • Paying a site that promises an ‘98 ATS score.’ Employers do not share a universal scoring model with those sites.
