The truthful keyword method
Keywords should help an employer find evidence, not manufacture qualifications. Extract, classify, place, translate.
11 min read
A keyword is not a magic token. It is a retrieval handle. If a recruiter searches ‘Salesforce’ and you have run Salesforce for two years, that word should appear in a natural sentence and in Skills. If you have never used Salesforce, putting it in a comma list is a lie that will last exactly until the screen.
Extract 8–15 meaningful terms
From the posting, pull title language, hard skills, tools, credentials, domain terms, and outcomes. Skip adjectives (‘dynamic,’ ‘passionate,’ ‘self-starter’) unless you are studying culture. Skip every tool listed once under ‘nice to have’ unless you truly have it.
Classify: Yes / Related / No
| Label | Meaning | What you do on the resume |
|---|---|---|
| Yes | You have done this work and can tell a story about it | Place the term in Summary, Skills, and at least one achievement bullet |
| Related | You have done the adjacent work with a different name or tool | Translate honestly: ‘CRM daily (HubSpot); ready to transfer to Salesforce’ is better than ‘Salesforce’ as a fake |
| No | You have not done it and cannot defend it | Leave it off. If it is a hard gate, skip the job or build the skill in public first |
Translation done right
Weak
Skills: Salesforce, SQL, Tableau, Python, customer success strategy, QBRs, churn reduction, enterprise SaaS.
Strong
Skills: HubSpot CRM (daily hygiene, task sequences), Excel reporting, customer onboarding, renewal reminder process, Zendesk ticket queue. Summary: Customer support lead who owned a 30-account book of local B2B clients, ran weekly check-ins, and reduced missed renewals by tightening the reminder calendar—not by claiming enterprise SaaS churn strategy I have not done.
Term: Salesforce Class: Related Evidence: 18 months HubSpot — contacts, deals, tasks, weekly pipeline cleanup Resume location: Skills + one bullet under current role Interview example: ‘I have not administered Salesforce. I have lived in a CRM every day, including duplicate cleanup and stage accuracy. I can be useful in week one and will complete your Salesforce trailhead modules before start date if that helps.’
